Receptionist and Client Services Administrator

You are the first person our clients meet, on the phone and at the door. A lot of people are nervous ringing a financial adviser, and the way that call is answered decides whether they ever come in.

About the role

What this job actually involves

This is a front-of-house role with real responsibility behind it. As well as looking after the phones, the door and the diary, you would keep client files moving: chasing paperwork from providers, preparing packs before meetings and making sure nothing sits waiting on somebody’s desk.

No financial services background is needed. Being organised, unflappable and genuinely nice to people is the job. If you want to study for the APA or QFA later, we will pay for it.

What you would be doing

01 Answer the phone and the door, and make people feel expected rather than processed.
02 Manage the advisers’ diaries and set up client meetings, in the office and on video.
03 Prepare meeting packs and keep client files complete and up to date.
04 Chase policy documents, valuations and statements from providers and lenders.
05 Keep the office running: post, supplies, meeting rooms, the coffee that people actually notice.
06 Log enquiries properly so nothing gets lost between a phone call and a first meeting.

What we are looking for

  • Two years in a reception, administration or customer-facing role.
  • Comfortable on the phone with people who are worried or in a hurry.
  • Well organised, and able to hold several half-finished things without dropping any of them.
  • Confident with Microsoft Office and quick to pick up new systems.
  • Discretion. You will see people’s financial circumstances every day.

Nice to have, not essential

  • Experience in a brokerage, solicitor’s office, accountancy practice or medical practice.
  • Any exposure to a CRM system.
  • Irish or another second language.
